LEAD DENTAL ADMINISTRATOR / OFFICE MANAGER

My Smile Health Centre is a holistic, health-focused dental practice in Burnaby that looks beyond teeth to support airway, breathing, sleep, growth, and whole-body wellness for patients from infancy to seniors. The practice offers comprehensive exams, infant frenectomies, pediatric growth guidance, airway dentistry for teens and adults, and complete general and periodontal care in a calm, compassionate, and educational environment.

The practice is seeking a full-time Lead Dental Administrator / Office Manager to anchor and lead the front office. This position is Monday to Friday, 5 days a week, 40 hours per week, and is ideal for someone who wants to contribute to a purpose-driven, holistic dental team rather than just “run a front desk.”

Key responsibilities

  • Answer and triage phone calls with empathy, clarity, and professionalism while protecting the schedule and flow of the day.
  • Strategically book comprehensive and airway-focused appointments for maximum efficiency, quality of care, and profitability.
  • Manage insurance claims and pre-determinations, billing, payments, and collections with accuracy and integrity.
  • Ensure accurate and timely chart entries, prepare and verify patient intake forms, and maintain complete, compliant records.
  • Lead daily and monthly administrative routines, including end-of-day balancing and month-end reporting.
  • Oversee front office organization, supplies, property, and equipment, liaising with vendors and service providers as needed.
  • Train, support, and collaborate with the appointment coordinator and clinical team to ensure seamless patient experiences.
  • Help maintain a world-class, welcoming environment that reflects the clinic’s holistic, family-friendly values.
